At Ruby Reign Events, we pride ourselves on delivering professional and reliable event staffing services. This Refund Policy outlines our payment and cancellation terms to ensure clarity and transparency for all clients.

1. Payment Terms

• A 30% non-refundable deposit is required at the time of booking to secure staff for your event.

• The remaining 70% balance is due no later than 14 days (2 weeks) before the event date.

• Bookings made within 14 days of the event require full payment upfront.

2. Cancellation & Refunds

Deposit

• The 30% deposit is non-refundable under all circumstances, including client cancellation or changes in event details, as it secures staff availability and administrative work begins immediately upon booking.

Cancellations More Than 14 Days Before the Event

• If a booking is cancelled more than 14 days before the event:

  • The 30% deposit is retained.

  • Any additional payments made beyond the deposit will be refunded in full.

Cancellations Within 14 Days of the Event

• If a booking is cancelled within 14 days of the event:

  • The 30% deposit is retained.

  • The remaining 70% is non-refundable, as staff will have been committed and scheduled for the event.

3. Event Postponements

• If an event is postponed (rather than cancelled), we may apply the deposit to a new date at our discretion, provided:

  • The new date is available

  • Notice is given at least 14 days in advance

  • The new date falls within 3 months of the original booking

• A postponement rescheduling fee may apply

4. Failure to Pay

• If the balance is not received at least 14 days before the event, Ruby Reign Events reserves the right to cancel the booking and retain the 30% deposit. No staff will be assigned or attend unpaid events.

5. Force Majeure

• In cases of extreme, unforeseeable circumstances (e.g. natural disasters, government-mandated shutdowns), refunds or credits may be considered on a case-by-case basis at the discretion of Ruby Reign Events.
